Workday Student and changes for UBC employees who are also current students

February 29, 2024

Are you a UBC faculty or staff member who is also a current UBC student? Learn more about how you will now need to update certain information in your Workday profile.

Launch 2 of Workday Student began February 26, 2024. With this Launch, there are specific impacts to faculty and staff who are also current students in a credit program at UBC.

Starting March 1, 2024, if you are both an employee and current student at UBC, you will need to follow a new process to update the following Workday profile information:

  • Legal Name
  • Date of Birth
  • Citizenship Status

Going forward, updates to this information will need to be made by contacting Enrolment Services.  This is to ensure student information is accurate and correct in Workday.

Additionally, if you are both an employee and current student, you will no longer be able to add, delete, or change your Workday profile photo. This is to ensure your photo in Workday complies with UBC’s student system requirements.

Beginning April 30, 2024, your photo will be uploaded to Workday from the UBC Card system.

Note: Individuals who are a current employee (faculty or staff) and a former UBC student may also have two profiles in Workday but will not be subject to the new process above. These employees will continue to be able to update their information as usual.

You can learn more about which student records have been added to Workday here: irp.ubc.ca/cutover.

If you have questions about any of this information, please contact your PTL. Additional information for individuals with student and employee profiles in Workday will be shared closer to May 2024.
