Workday update: Important changes for UBC employees who are also current students

Are you a UBC faculty or staff member who is also a current UBC student? Learn more about how you can toggle between student or worker profile views in Workday. 

On May 21, 2024, UBC students will gain access to Workday. Faculty or staff who are also current UBC students will notice that when they login to Workday for the first time they will automatically view their student profile, not their employee profile.  

In Workday, individuals can have more than one profile. Both profiles are accessed using the same Workday account. To ease the transition for students to Workday, anyone who is a current UBC student will have their profile view set to their student profile by default on May 21, 2024. 

While logged into Workday, you can easily switch between these two profile views from the Summary page of your Workday profile. To choose which profile appears when you log in to Workday, you can set your default profile view based on your preferences under My Account.  

On May 21, employees can visit the Workday Knowledge Base for detailed instructions. 

Additionally, employees who are also current UBC students will now have their student picture as their profile photo in Workday.  These photos were uploaded from the UBC Card system. 

In February, information was shared about how you will now need to update certain personal information in Workday as someone who is currently both a student and employee. If you have questions about any of this information, please contact your Primary Transition Lead (PTL).  

Employees who have questions about their student information in Workday can find more information on the IRP Student website, including where to go for support.  

It is important to note that this change affects all current employees who are also current students, not just student employees (e.g. Co-op, Work Learn, TA, etc.). Current employees who are also former UBC students and have a student record in Workday will also have access to their student profile, but they will not see their student profile by default on May 21, 2024.
